This Privacy Policy explains how City Clover, LLC ("City Clover," "we," "us," or "our") collects, uses, discloses, and protects information when you visit, purchase, create an account for, or use Small Business Money Organizer (the "Service").
1. SCOPE
This Policy applies to the Small Business Money Organizer website, checkout-related interactions that City Clover controls, and the authenticated Service. It does not replace the privacy notices of third-party services such as Stripe when you interact directly with those services.
Small Business Money Organizer is designed primarily for business users. A business customer may enter information about its own customers, vendors, or other third parties. For that information, City Clover processes the data on behalf of the business customer in order to provide the Service. The business customer remains responsible for its own legal basis, notices, and obligations relating to information it chooses to enter.
2. INFORMATION WE COLLECT
Depending on how you use the Service, we may collect or process the following categories of information:
Account and business information: email address, business name, business type, timezone, authentication/account identifiers, and account status.
Subscription and billing information: Stripe customer, checkout-session, subscription, price, and status identifiers; setup-fee/payment status; and information needed to manage subscription access. Payment-card details are collected and processed by Stripe. City Clover does not receive or store your full payment-card number through Small Business Money Organizer.
Business records you enter: customer or payee names, amounts, due dates, notes, Money In and Money Out records, payment-history records, Auto-Pay tracking choices, and related status information.
Receipt information: receipt images or PDF files you upload and receipt metadata such as vendor, amount, category, date, and notes.
Communications and support information: information you provide when contacting City Clover for support and email-delivery information associated with welcome or operational messages.
Technical, authentication, and security information: our hosting, authentication, payment, email, and infrastructure providers may process information such as IP address, device/browser information, cookies or session identifiers, request metadata, timestamps, and security or error logs as necessary to operate and secure their services and the Service.
3. HOW WE USE INFORMATION
We use information to:
- provide, operate, authenticate, and maintain the Service;
- create and manage accounts and subscriptions;
- process checkout and billing through Stripe;
- enforce subscription and account-access status;
- store and display the business records and receipts you choose to enter;
- generate the simple summaries and reports you request;
- send welcome, account, operational, or support communications;
- respond to support requests;
- detect, investigate, prevent, and address fraud, abuse, security incidents, or technical failures;
- comply with legal obligations, enforce our agreements, and protect the rights and safety of City Clover, our customers, and others.
We do not use Small Business Money Organizer customer records for targeted advertising.
4. COOKIES AND SIMILAR TECHNOLOGIES
The Service and its infrastructure providers may use cookies, local storage, or similar technologies that are necessary for authentication, session management, security, payment checkout, and core service operation. The current version of Small Business Money Organizer is not designed around advertising cookies or cross-site behavioral advertising.
5. HOW WE DISCLOSE INFORMATION
We may disclose information to service providers that process information on our behalf or otherwise help us operate the Service, including:
- Stripe, for payment processing, subscriptions, refunds, billing portals, and payment-related fraud prevention;
- Supabase, for authentication, database services, and private receipt storage;
- Cloudflare, for application hosting and delivery;
- Resend, when used for Service-related email delivery.
These providers process information under their own agreements, security programs, and privacy practices. Depending on the activity, a provider may act as our service provider/processor and may also have independent legal obligations.
We may also disclose information when reasonably necessary to comply with law, legal process, court orders, or government requests; investigate fraud or security threats; protect rights, property, or safety; enforce our agreements; or complete a merger, financing, acquisition, reorganization, or sale of all or part of the business, subject to applicable law.
We do not sell personal information for money, and we do not disclose personal information for cross-context behavioral advertising as part of the current Service.
6. PAYMENT INFORMATION
Stripe processes payment information used to purchase and manage a subscription. Stripe may collect payment credentials, billing details, transaction data, device information, and other information needed to process and secure transactions. City Clover receives only the payment and subscription information needed to operate the account and does not store full payment-card numbers in Small Business Money Organizer.
7. BUSINESS-CUSTOMER DATA ABOUT THIRD PARTIES
If you use the Service to enter information about your customers, vendors, employees, contractors, or other people, you are responsible for ensuring that you are allowed to provide and use that information. City Clover processes that information only as needed to provide, secure, support, and maintain the Service or comply with law.
If a person contacts City Clover about information that a business customer entered about them, we may need to direct the request to that business customer because the business customer controls the underlying business relationship and context.
8. DATA RETENTION
We retain information for as long as reasonably necessary to provide the Service, maintain the account, process billing, comply with legal and accounting obligations, resolve disputes, enforce agreements, investigate security events, and protect legitimate business interests.
When an account is canceled or terminated, some data may remain for a period of time in operational systems, logs, backups, payment records, or records required by law. Retention periods can vary by data type and provider. We do not promise immediate deletion from all backup systems.
You should retain independent copies of records that your business is legally required to preserve or that are critical to your operations.
9. DATA SECURITY
We use administrative, technical, and organizational safeguards designed to protect information appropriate to the nature of the Service. These include authenticated access controls, private storage for receipt files, tenant-isolation controls, encrypted network connections provided by our infrastructure, and restricted server-side credentials for privileged operations.
No method of transmission, storage, or online service is completely secure, so we cannot guarantee absolute security. You are responsible for protecting your account credentials and notifying us promptly if you suspect unauthorized access.
10. YOUR CHOICES AND PRIVACY RIGHTS
You may update certain business records directly in the Service. You may also contact us at info@cityclover.com to request help accessing, correcting, or deleting personal information associated with your account.
Depending on where you reside and whether an applicable privacy law covers City Clover or the relevant processing activity, you may have additional rights, such as rights to access, correct, delete, or obtain a copy of certain personal information, or to appeal certain privacy-request decisions. We may need to verify your identity before completing a request, and applicable law may allow or require us to retain certain information.
Because the current Service does not sell personal information or use it for cross-context behavioral advertising, City Clover does not currently offer a separate "Do Not Sell or Share" mechanism for Small Business Money Organizer.
11. EMAIL COMMUNICATIONS
We may send transactional or operational messages relating to your account, subscription, security, welcome/onboarding, or the operation of the Service. These communications are not promotional marketing messages merely because they are sent by email.
If City Clover later introduces promotional marketing email, we will provide required choices and disclosures before using customer information for that purpose.
12. CHILDREN
The Service is intended for business users age 18 or older and is not directed to children. We do not knowingly design Small Business Money Organizer to collect personal information from children.
13. DATA LOCATION AND SERVICE PROVIDERS
City Clover is based in the United States. Information may be processed in the United States and in other locations where our service providers or their subprocessors operate, subject to their contractual and legal safeguards.
14. CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. We will post the revised version with an updated "Last Updated" date and provide additional notice when required by applicable law or when a material change warrants it.
